Update Customer Details and Profile Fields

Maintain customer details in the profile while administrators manage shared customer fields in the admin console.

Before you start

  • Employees have been able to view and maintain user information of target customers.
  • When adjusting field definitions, admin console permissions with access to customer management settings are required.
  • Prepare current templates and accurate customer information before batch import.

First distinguish between fields and field content #

Items in user information are used to save customer information. When team members fill in content for a customer, they maintain the customer's record; when the admin console adjusts the customer information parameters, it adjusts the definition of these data items. The two types of operations have different scopes of impact and should not be mixed together.

For example, if a customer's data is missing, the customer's corresponding content should be supplemented first; if the entire team is missing a necessary data item, then a person with admin console permissions should evaluate the field configuration. The specific field names and available settings are subject to the current page.

Fill in a customer's information #

  1. Verify target customer identity during customer session.
  2. Open the user information area in the customer profile.
  3. Fill in the confirmed information item by item according to the currently displayed fields, and do not directly insert the free text in the remarks into non-corresponding items.
  4. Complete the entry according to the method provided on the page.
  5. Return to the customer's information area and check whether the content and fields correspond, paying special attention to customers with the same name and imported customers.

Adjust fields uniformly through the admin console #

  1. Use an account with corresponding permissions to enter the admin console.
  2. Open Customer Management, Settings, Customer Information in sequence.
  3. First check existing projects to confirm whether the requirements can be expressed by existing fields, and then adjust the parameters that need to be changed.
  4. After completing the configuration according to the actual operations provided by the admin console, return to the client information area to check the presentation.
  5. Let team members who need to use these items understand the new filling standards to avoid the same field being interpreted with different meanings.

This operation does not open the admin console configuration permissions to all team members. Permissions should be allocated according to the existing management rules of the enterprise.

Make imported data consistent with fields #

Customer information can also be filled in when importing phone numbers, and will be synchronized to the customer profile after importing. First download the template from the lead import process of the admin console customer management, prepare the data according to the columns in the template, and then perform the import.

After adjusting the field configuration, do not continue to use the old file without verification. First check the current template and field requirements, then confirm the mapping with a small amount of authorized test data, and finally process the formal information. Don't guess at new column names or file formats.

What to check after changes #

Check from three locations: admin console configuration, single customer profile and imported data: whether the field names meet expectations, whether the filled-in content is placed in the correct item, and whether team members understand the filling method.

This material does not clarify the impact of field deletion, name change or type adjustment on historical data. Therefore, when existing data is involved, verify the scope of impact first, and do not directly promise that historical data will be migrated automatically and losslessly.

Check your result

Frequently asked questions

I only want to change the information of one customer. Do I need to enter the admin console?

Usually, the content is maintained in the user information area of the customer first; the admin console customer information setting is used to adjust the data item itself. Please first distinguish whether you want to change the field or the field content.

Why is the imported content misaligned or missing?

Check whether the current template is used, whether the data columns correspond to the template, and whether the customer is the same record. After the fields are changed, the old template needs to be rechecked.

Can I delete unused fields directly?

This material does not describe the impact of deletion on historical records. The impact must first be confirmed and verified by a person with admin console permissions, and then processed according to the company's data management requirements.
